A successful show begins before the van reaches the venue. Load-in is the process of bringing equipment from the vehicle to the performance area, placing and connecting it, and preparing the system for rehearsal or soundcheck. Load-out is the reverse: powering down safely, packing and checking the equipment, moving it back to the vehicle, securing the cargo, and leaving the venue in good condition.
The work looks simple from the audience, but it combines transport planning, manual handling, electrical safety, stage management, audio coordination, and time-sensitive communication. The most reliable approach is to advance the show early, confirm the venue’s physical limits, assign responsibilities, protect routes, and use a repeatable checklist that can adapt to the room.
Start with the advance
“Advancing” a show means confirming practical details with the venue and production contacts before arrival. Do not assume that a venue has a standard truck route, a convenient dock, unlimited parking, or enough space for every case to sit beside the stage. Official venue production pages show how different these arrangements can be. Britt Pavilion, for example, describes a particular ramp and temporary-dock route and a one-truck-at-a-time process. The Cerritos Center for the Performing Arts lists truck-route restrictions, loading-bay and door dimensions, ramp width, parking limits, and requirements for advance contact. Before the show, confirm:
- The load-in address and the person who will meet the vehicle.
- The permitted arrival window and whether another act or truck is scheduled before you.
- The vehicle type, height, length, weight, and turning requirements the venue can accept.
- The route from the street to the dock, stage, or production area.
- Door widths, ceiling heights, dock heights, ramp dimensions, stairs, sharp turns, and bridge restrictions.
- Whether the route changes for a particular stage configuration.
- Where the vehicle may park during load-in and whether it must be moved afterward.
- How many vehicles can unload at once and whether cases must be staged in a particular order.
- Stage dimensions, backstage storage, house equipment, available power, and any restrictions on using venue systems.
- Soundcheck, performance, curfew, and final-clear-out expectations.
- The venue’s production, audio, lighting, security, and electrical contacts.
Ask for current technical information rather than relying on a specification from a previous visit. Venue conditions, routes, parking arrangements, and production policies can change. Timing, labor, access arrangements, and fees also need to be confirmed for the particular engagement. There is no universal schedule or cost benchmark that should be treated as an industry rule.
A useful advance document can be short: one page listing contacts, arrival instructions, route constraints, power information, stage details, deadlines, and the equipment that is actually traveling. Share it with the driver, bandleader, tour manager, stage manager, and any local crew who need it.
Plan the route and staging area
The safest route is the one you have mentally walked before moving a case. Identify where equipment leaves the vehicle, where it waits, and where it finally goes. If the venue allows only one truck at a time, a case that is ready but blocking the ramp can stop everyone behind it. If the stage door opens directly onto a public or vehicle route, cases and people may need separate paths.
Create a temporary staging plan. Put cases in the order the team expects to use them, but keep aisles, doorways, turns, loading-dock approaches, and emergency or access routes clear. The order should remain adaptable. A large speaker cabinet may need to move first because it is blocking a case, or a console may need to reach a protected position before other gear crowds the area. Treat “largest equipment first” as a team preference, not a universal rule. Route, stability, access, power, crew direction, and the needs of other production departments should control the sequence.
Mark a home for every major case or group of cases. A clear staging area reduces repeated handling, makes missing equipment easier to spot, and keeps the performance area usable. Keep lids, packing materials, carts, and empty cases out of working lanes unless the crew has deliberately designated a safe location for them.
Move equipment with the right method
Use mechanical assistance whenever practical: carts, hand trucks, pallet jacks, ramps, and lift gates can reduce the force and awkward postures involved in moving gear. A device is useful only when it is appropriate for the load and terrain. Check its capacity, wheel condition, ramp angle, floor transitions, and ability to turn. Keep the load stable and low enough that the person moving it can see the route. If the load blocks visibility, use a spotter or change the method. Push rather than pull where the route and equipment allow, because pulling can put the body in a more awkward position. Move slowly around corners, door thresholds, slopes, and crowded backstage areas.
For lifting, reduce the problem before asking someone to lift. Break a large load into smaller units, remove detachable parts, use a lift gate or ramp, and stage the case at a workable height. OSHA recommends keeping manual loads near the mid-thigh to mid-chest zone where possible, using mechanical aids, and using two or more people for loads over 50 pounds. Agree on simple commands before a team lift: who leads, when the lift starts, where the load is going, and when it is set down. Do not surprise the other person by changing direction or releasing a case early. Keep hands and feet out of pinch points. If a load feels uncontrolled, stop and reset the method rather than trying to complete the move through force.
Protect people from cases and cables
Cases should be stacked only when the stack is stable and the cases are designed or suitable for that arrangement. Do not lean equipment against a doorway, place cases where they can roll into a route, or leave heavy items above head height without a stable plan. Keep passageways open and remove loose packing, straps, tape backing, and debris as the work progresses. Cable planning starts with selecting cables suitable for the equipment and environment. Route cables along edges or other low-traffic paths when possible. Separate pedestrian routes from cable routes instead of expecting people to step over loose lines. Where a cable must cross a route, use a cable ramp, bridge, or equivalent protection suited to the crossing. The UK Health and Safety Executive advises routing cables to minimize trip and mechanical hazards and using protection where routes cross. It also advises that cable bridges or catenaries over vehicle routes should be 5.8 metres or more where vehicles pass beneath. Protect cable paths from vehicle tires, case wheels, doors, water, sharp edges, and repeated bending. Do not create a route that can be crushed when a dock plate or door moves. Tape can help hold a cable in place, but it is not a substitute for a ramp or other protection where vehicles or substantial traffic cross. Recheck routes after the room fills: a safe path during setup can become a hazard once the audience, performers, or venue staff arrive.
Electrical equipment should be selected, installed, maintained, and protected from unauthorized access under the applicable local rules and venue procedures. Entertainment settings have specific electrical risks, and official HSE guidance addresses venues, dutyholders, production crews, and entertainers. Performers should not install or modify distribution systems unless they are competent and authorized to do that work. Build the system and run a planned soundcheck
Once equipment is in position, the goal is not merely to make sound. The goal is to verify the complete signal path and leave enough time to correct problems before the performance. A basic live sound chain may include the source, microphone or direct connection, input and cable, mixer, processing, amplifier or powered speaker, and loudspeaker. Use a documented line or system check. Confirm that each input is connected to the expected channel, the signal arrives at the mixer, the monitor or front-of-house destination is correct, and the speaker path responds as intended. Check microphones for the correct placement and condition. Listen for hum, intermittent connections, unexpected noise, polarity or routing problems, and feedback risk. The important point is to verify the actual system in the actual room, communicate changes, and document unresolved issues before doors or performance.
Close out the venue deliberately
Load-out begins when the performance ends, but it should be planned before the first cable is connected. Confirm where the vehicle will be, whether the same route remains available, who has the keys or access credentials, and whether the venue requires a particular departure time or clearance inspection.
Use a shutdown sequence that fits the system and venue. As a general team procedure, stop performance activity, mute or lower relevant audio paths, and let qualified personnel handle electrical shutdown or any distribution changes. Do not treat one fixed order as universally correct; venue staff, power design, lighting, audio, and other departments may require a different sequence.
Keep the work area orderly while packing. Coil and inspect cables as they come off the floor. Check connectors, strain reliefs, cases, wheels, latches, stands, microphones, power supplies, and adapters for damage. Separate equipment needing repair from equipment ready for travel. Count high-value or easily misplaced items before the first case leaves the room and again after the vehicle is packed.
Pack for stability, not just maximum density. Heavy items should be positioned so they cannot shift into people, doors, or lighter equipment. Use appropriate straps, bars, blocking, or other securement equipment for the vehicle and cargo. For covered U.S. motor-carrier operations, FMCSA rules require cargo to be immobilized or secured, with detailed tiedown and working-load requirements; the page states an aggregate working-load limit of at least one-half the cargo weight, subject to the rule’s scope and exceptions. Before departure, walk the route and room. Look for forgotten cables, batteries, stands, tools, labels, trash, or personal items. Confirm that venue equipment has been returned to its agreed location, doors and access points are clear, and no cable or case remains where it can create a hazard. Record damage or missing items while the facts are fresh, and notify the responsible contact before leaving.
A practical show-day workflow
A compact workflow can keep the whole team aligned:
- Advance the route, timing, contacts, power, parking, and venue constraints.
- Brief the crew on the route, staging area, commands, equipment priorities, and hazards.
- Unload using carts, ramps, lift gates, team lifts, and spotters suited to the route.
- Stage cases without blocking aisles, doorways, turns, docks, or passageways.
- Place equipment, route and protect cables, and keep electrical access controlled.
- Run a line/system check, then soundcheck or rehearsal based on the production’s needs.
- Before load-out, confirm vehicle access, shutdown responsibilities, and the departure plan.
- Pack, inspect, inventory, secure the cargo, clear the venue, and record exceptions.
The details will vary by venue, vehicle, crew, equipment, and jurisdiction. What should remain constant is the discipline: advance the constraints, reduce unnecessary handling, protect people and routes, verify the system, and leave with the equipment accounted for and secured.
